Information we process
Depending on how you use the website or pharmacy services, we may process:
- Your name and contact details when you contact the pharmacy or enter them in CalMov.
- Information you provide in an enquiry.
- Travel destinations, departure dates, trip length, itinerary details and vaccination interests you deliberately select for a booking prefill.
- Information needed to arrange and manage an appointment.
- Limited technical information needed to deliver and secure the website, such as IP address, browser, request, diagnostic and security-log information.
- If you allow optional analytics, information about website visits and performance, such as device and browser type, referrer, pages viewed and generic booking-button or telephone-link interactions.
- Public Google business rating, review content and author attribution displayed on this website, which may include a reviewer name, avatar, profile link, star rating and relative publication date.
This marketing website is not designed to collect clinical histories. Health and clinical information entered during booking or a pharmacy consultation is handled in the appropriate booking or clinical system and may form part of the pharmacy's confidential clinical record.
Why we use information and our lawful bases
We use personal information to respond to enquiries, arrange and manage appointments, provide pharmacy and travel-health services, communicate about bookings, operate and secure the website, meet legal and professional duties, and establish, exercise or defend legal claims where necessary.
The lawful basis depends on the purpose and circumstances. It may include taking steps at your request before providing a service, performing a contract, complying with a legal obligation, or our legitimate interests in responding to enquiries and operating, improving and protecting our services. Where we ask for consent for a specific optional use, you may withdraw it at any time without affecting earlier lawful processing.
Information concerning health is special-category personal data. Where health information is processed to provide or manage pharmacy care, the condition commonly relevant is the health or social care condition in Article 9(2)(h), together with applicable Data Protection Act 2018 safeguards and professional confidentiality. A separate Article 6 basis from those described above also applies. The legal-claims condition may apply where information is needed to establish, exercise or defend a claim.
Online bookings and CalMov
Online bookings are provided using CalMov. The CalMov booking code loads only after you choose a booking button.
Information you have deliberately entered or selected on this website—such as a destination, travel date, trip length, itinerary detail or requested vaccination—may then be transferred to CalMov to prefill the booking form. Automatically generated country guidance is not sent as a vaccination request. You can review and change every prefilled value before submitting.
Contact, booking and any clinical information requested within the CalMov workflow is entered there rather than collected by this marketing website. CalMov processes booking information for the pharmacy where it acts as the pharmacy's processor.
Read how online booking works or view the CalMov privacy policy.
Website hosting and technical logs
This website is hosted using Vercel. Vercel and its infrastructure providers may process technical information required to deliver and secure the service, including IP address, request, browser, diagnostic and security-log information.
Vercel's infrastructure may involve processing outside the United Kingdom. Where an international transfer requires a safeguard under UK data-protection law, the applicable adequacy arrangements or contractual safeguards must be used.
Health or medical-history information is not intentionally placed in public URLs, query strings, analytics events, console output or website server logs. Clinical information should be provided only through the appropriate booking or pharmacy workflow.
You can read the Vercel privacy policy.
Google Maps and Google reviews
This website uses Google Places server-to-server to retrieve public business information, including the rating, review count and up to five reviews selected and ordered by Google for relevance. The website displays the reviews Google supplies without selecting or filtering them by rating.
Displayed information may include review text, star rating, relative publication information, the public reviewer name and avatar, a reviewer-profile link, a direct review-source link and a Google reporting link. Review content is not persistently stored or cached by this website, and an interactive Google map is not embedded.
Reviewer avatars load directly from Google when the reviews are displayed. That request may provide Google with your IP address and browser or device information. Directions, reviewer-profile, individual-review and report links open Google only when you choose them; Google may then receive information about your device, browser, IP address and interaction with its service under its own terms.
Read the Google Privacy Policy and Google Terms of Service.
Cookies, browser storage and optional analytics
A short-lived browser-session value may be used to avoid repeating the same non-sensitive homepage background image. We also store your analytics choice in your browser for up to 180 days so the website can remember it. These values do not contain booking or clinical information.
Google Tag Manager and any analytics tags it delivers load only after you choose “Allow analytics”. Until then, and if you choose “Reject analytics”, this website does not send analytics requests to Google or set Google Analytics cookies.
When allowed, Google Tag Manager may load Google Analytics to help us understand aggregate website use and performance. Google may receive technical and usage information such as your IP address, device and browser details, referrer, pages viewed and generic booking-button or telephone-link interactions. Google may process this information outside the United Kingdom using the safeguards applicable to its service.
Our website analytics events contain only an allowlisted generic event name. We do not put booking or clinical information, names, contact details, destinations, travel dates, vaccine selections, itinerary details or free text into those events. Information entered in CalMov is not copied into website analytics.
Advertising, remarketing and advertising-personalisation storage are denied by this website's consent configuration. Analytics data is retained according to the limited retention setting configured in the analytics service and is reviewed as part of our supplier and privacy controls.
You can refuse optional analytics without losing access to the website. Use “Cookie settings” in the footer to change your choice. If you withdraw an earlier permission, the website records “Reject analytics”, removes known Google Analytics cookies where possible and reloads without the tag manager; this does not affect processing that lawfully took place before withdrawal.
CalMov's booking technology remains separate and loads only when you choose to book. Google Maps is provided as an external link rather than an embedded map. Read the Google Privacy Policy.
Who we share information with
Where necessary for the purposes described above, information may be shared with booking and appointment technology providers, website hosting and infrastructure providers, communications providers, healthcare or pharmacy service providers, professional advisers, regulators, or public authorities where legally required.
Service providers acting on our behalf are permitted to use personal information only for the relevant service and must protect it in accordance with applicable data-protection and contractual requirements.
How long we keep information
We keep personal information only for as long as necessary for the purpose for which it was collected and to meet applicable legal, regulatory and professional requirements.
Where a fixed period is not stated, we determine retention by considering the nature and sensitivity of the information, why it is needed, whether the purpose has been completed, applicable pharmacy and healthcare record-keeping rules, legal limitation periods, and the need to resolve disputes, maintain security or establish legal claims.
- Enquiry information is kept only as long as reasonably necessary to respond and manage the enquiry, plus any period required for legal or professional reasons.
- Technical logs follow the hosting and security configuration in use and are kept only as long as needed for delivery, security, troubleshooting and applicable legal obligations.
- Booking and clinical records may need to be kept longer under pharmacy, healthcare, regulatory and legal record-keeping requirements.
Your data-protection rights
Depending on the circumstances and the lawful basis used, you may have rights to access your personal information, correct inaccurate information, request erasure, restrict processing, object to processing, receive portable information, and withdraw consent where processing relies on consent.
Some rights are not absolute and may not apply where information must be retained or used to meet legal, regulatory or professional duties. Email info@vidapharmacy.com to make a request. We may need to verify your identity.
